Title:  Repair and Maintenance of Property of the Diocese

1.  The Chapter of Calvary Cathedral (hereafter referred to as the Diocese), a South Dakota corporation, is the holding corporation for all property of the Diocese. The officers of the corporation shall be the Bishop, Chancellor and Treasurer. The officers and the Diocesan Council act as the Board of Directors of the corporation.

2.  It is Diocesan policy that each congregation or other entity using property owned by the Diocese has the primary responsibility for the repair and maintenance of the buildings and grounds which they are utilizing. This shall include mowing of the grounds and cemeteries, routine maintenance and upkeep of the buildings ‑ painting, repair of broken glass and windows, upkeep of signs, etc.

3.  The Diocese may be willing to assist in major repairs or improvements by sharing in the cost of materials, or more in the case of a natural disaster.

4.  The congregation utilizing Diocesan property is expected to keep the property fully insured. If no property insurance is in effect, the Diocese will not contribute to the cost of any repairs. If a congregation reinstates property insurance, this insurance must be in effect for one year before any assistance will be considered.

5.  Congregations who utilize Diocesan property shall follow certain procedures to apply for financial assistance for major repairs and improvements. This process shall be as follows:

a.       The Bishop's Committee, with the Priest-in-Charge or Dean in attendance shall, at a regularly held meeting approve the project to be funded.

b.      The congregation shall have 50% or more of the project cost in the bank prior to start of the project.

c.       The Priest-in-Charge or Dean shall submit a written request to The Chapter of Calvary Cathedral for financial assistance. Included in this request shall be copies of materials costs.

d.      In the case of damages from natural disasters, or for repairs/ improvements that will involve companies who will provide labor, copies of their bids will also need to be included with the written request.

e.       The Diocese may fund up to 50% of the project. This percentage will vary based upon Diocesan budget funds available, congregation funds available, and total cost of the project.

f.        The Diocese will not contribute any funds without a prior written notification and request.

g.       The agent for the Diocese shall consider all requests, and upon approval of the project expense, shall provide written permission to the Priest-in-Charge, Dean and congregation.

h.       Upon receipt of paid invoices, a check shall be issued from the Diocese to the local congregation. Or upon the request of the Priest-in-Charge or Dean, a check can be issued direct to the vendor. In either case, the amount shall not exceed the limits of the Diocesan share of the project.

i.         In the case of necessary repairs from a natural disaster, with the cost of the repairs paid by insurance proceeds, less the deductible, the Diocese may assist in reimbursing the local congregation one half of the cost of that deductible.
